Attendance Protocol for In Person Meetings - Summer 2021

Planning Committee: Tuesday 7 September 2021

Venue: Queen’s Hall, West Street entrance, Newtownards

Arrival Time: Committee Members: 18.45 for a 19.00 start.

General Public & Press: 18.50 for a 19.00 start.

Speakers (for and against proposal): Please refer to the instructions emailed to you for your arrival time.

 

General Information

  • Strict social distancing should be observed at all times.
  • To optimise safety we have treated all touch surfaces and chairs with a sanitising product.
  • You must wear a face covering at all times when in the building. Members of the committee and staff will not need to wear a mask when seated. Speakers will not need to wear a mask when making a presentation to the committee.
  • There will be no refreshments, including water available, please bring your own drinks as needed.
  • The public gallery will be limited to 7 people

Attending the meeting

  • Wear a face covering at all times while moving about within Queen’s Hall. Members and staff will not have to wear a mask when seated. Speakers will not need to wear a mask when presenting to the committee.
  • The entrance door will be opened for access at 18.45 for Committee members, staff and the public. All other attendees will have been notified of a time for attendance. Please do not arrive before your notified time.
  • When you arrive, and if there are others outside, please queue, keeping socially distanced. Enter one at a time.
  • Use the hand sanitiser on entering the building. If you prefer not to use hand sanitiser, please wash your hands in the WC facilities using the 20-second handwashing protocol.
  • Provide your name and contact number to the Officer in the reception area, this is required for Track and Trace purposes.
  • Everyone must keep two metres apart, wherever possible.
  • Please go directly to your seat indicated for you by our officer. Do not approach another table or stop to speak to other attendees.  Avoid having discussions in shared spaces (other than when seated at your table).
  • Do not move seats or tables, these have been set out to maintain distancing, unless instructed to do so by a Council officer.
  • Taking a comfort break. If you are leaving the hall for any reason, please walk behind the chairs so that those you are passing have their backs to you.
  •  Speakers for and against proposals must leave immediately following the hearing of the proposal they are registered to attend for. All others must leave the building promptly when the meeting concludes.
